Titania Delivery Policy
Titania products can be downloaded directly from your account area when you have a valid and current license for the product you wish to download. For credit card or debit card online payments your license will become active immediately following the successful processing of your order. For the purchase of a license using an invoice payment, it can take a little longer for the license to become active.

What information do we collect about you?
We collect information about you when you register with us, download a product, or place an order for products or services. Website usage information is collected using cookies and we also track IP addresses through our license server.
How will we use the information about you?
We collect information about you to process your order, manage your account and, if you agree, to email you about other products and services we think may be of interest to you. This information will be stored securely in our systems, and you have the right to review or update your data or have it removed at any time.
We use your information collected from the website to personalise your repeat visits to our website and IP address to understand if you have had a free trial before.
In processing your order, we may send your details to, and also use information from, credit reference agencies and fraud prevention agencies.
How will we store your information?
Data within the CRM
All customer and individual contact data is regularly reviewed.
Specific stored data would be the company name, the contact name with email address, phone number and physical address, as well as sales information such as the number of licences purchased and email and phone communications.
The account and individual contact data of all of our customers is stored within a UK-based, cloud-hosted CRM package. Their GDPR compliance policy states:
- “All customer data is stored within the EC in data centres that are ISO27001 compliant, with data on our production servers encrypted at rest
- All our sub processors where we store or pass personal data are GDPR compliant or have committed to be so by 25th May 2018
- We have in place a Data Protection Officer, a Breach Notification Process and policies for Right to Erasure & Data Portability
- All our staff are subject to our Customer Data Access Policy enforced in their employment contracts”
Titania are confident this is an appropriate level of privacy and protection for our customers.
On our website
The public-facing website is hosted at a reputable provider who provide their own infrastructure rather than simply outsourcing storage to one of the larger cloud providers.
Data on the website server is encrypted, and can only be accessed by named engineers within Titania.
Specific stored data would be the company name, and the contact name with their email address. This data is regularly reviewed and either removed or anonymised if the account remains dormant for a significant amount of time.
In our licence management system
The only data stored to check the legitimacy of our product licences is irretrievably hashed and so effectively anonymised.
Account and individual data is stored in-house in a market-leading finance package (see “In house data storage” below), and can only be accessed by the appropriate finance employees.
Data in the finance system would contain the company name and address, and the individual contact name, address, email address and phone number.
We use a reputable payment card processor to process payments and do not store credit card information.
While credit agencies are used in the standard course of our business, this is carried out by our payment provider. Titania do not keep company credit search information or payment information.
Our support department use a market-leading helpdesk system which is kept in-house.
Information is only deleted when it will no longer be of use to us when supporting the customer.

Emails - The email system is kept in house, and is protected using the technologies mentioned below in “In-house data storage”, as well as being filtered for confidential information when both sending and receiving emails.
In-house data storage
All data that is stored in-house is kept as part of our virtual cluster. The cluster:
- can only be physically accessed by nominated data security engineers using swipe cards
- is encrypted at a disk level using VMware’s standard encryption storage policies, meaning machines cannot be operated outside of the cluster
Our Windows infrastructure is controlled using the industry-standard UGLY access rights model, allowing employees to only have access to data they need in their line of employment.
We would like to send you information about products and services of ours which may be of interest to you. If you have consented to receive marketing, you may opt out at a later date.
We will not share your information for marketing purposes with third party organisations without expressed consent.
You have a right to stop us from contacting you for marketing purposes at any time.
If you no longer wish to be contacted for marketing purposes, you can change your bonus content options in your account settings or contact us directly at firstname.lastname@example.org.
Access to your information and correction
You have the right to request a copy of the information that we hold about you. If you would like a copy of some or all of your personal information, please email us at email@example.com or write to us at the address shown below and listed on our Contact page.
We want to make sure that your personal information is accurate and up to date. You may ask us to correct or remove information you think is inaccurate.
Cookies are text files placed on your computer to collect standard internet log information and visitor behaviour information. This information is used to track visitor use of the website and to compile statistical reports on website activity.

Titania Cancellation & Refund Policy
You can cancel your license subscription purchase within 7 days of your subscription start date if you:
- have not downloaded the related product;
- have not installed the related product;
- have not used the related product;
- deleted all your copies of the related product.
By downloading, installing or using Titania software you will be deemed to have accepted the purchase.
Refunds will be made to the credit card, debit card or account that the payment was originally sent from. Refunds will be processed within 28 days of the cancellation request.
